Version du 2026-10-14. English version below.
Votie Solutions Inc., 517 rue Baudoin, Laval, Québec H7X 3N5.

Version dated 2026-10-14.
Votie Solutions Inc. ("we") operates the SignalitUP and Votie platforms. This policy explains what personal information we collect, why, who we share it with, how long we keep it and what your rights are. It is written in plain language in accordance with Québec's Act respecting the protection of personal information in the private sector (as amended by Law 25) and PIPEDA.
Votie Solutions Inc., 517 rue Baudoin, Laval, Québec H7X 3N5. This policy applies to signalitup.com and votie.ai, to the web apps at app.signalitup.com and app.votie.ai, to the forms and reporting portals published by our customers, and to the communications that follow.
When a customer organization publishes a form or a portal, it decides what is asked and who can access it; we act as its service provider. For user accounts and billing, we determine the purposes ourselves.
Our privacy officer is Vitaliano Torchia, Compliancy Officer, vitaliano.torchia@signalitup.com. Questions, access, correction and withdrawal requests, and complaints can be addressed to them.
We do not use your information for other purposes without your consent, and we never sell it.
Reports and responses are available to the authorized administrators of the organization that published the form. The providers below only access information for the function shown and are bound by contract.

We may also disclose information where the law requires it, or to a successor in a sale or merger, under the same protections.
Our application servers and file storage are in Canada. Some providers (payments, SMS, email, analytics, artificial intelligence) process information in the United States. Before any communication outside Québec we carry out a privacy impact assessment and ensure, by written agreement, that the information receives adequate protection.

When the period ends, information is securely destroyed. A customer organization can request full deletion of its data at any time.
To exercise a right, write to Vitaliano Torchia, Compliancy Officer, vitaliano.torchia@signalitup.com. We respond within 30 days. If you submitted an anonymous report, contact the organization concerned with your case key; we cannot identify you otherwise. If you are not satisfied with our response, you may complain to the Commission d'accès à l'information du Québec or the Office of the Privacy Commissioner of Canada.
Users accept the terms and this policy when they create an account and at each new version. People who answer a form are told, on the form itself, what is collected and why. Accounts are for people aged 16 and over. We do not knowingly collect information from a minor under 14 without the consent of the person having parental authority, unless the collection is clearly for the minor's benefit (for example, a harassment report).
Encryption in transit (TLS) and at rest, hashed passwords, role-based access limited to one organization, audit logs, and hosting with certified providers. No measure is infallible; we apply safeguards proportionate to the sensitivity of the information, which can be high for a report.
We keep a register of confidentiality incidents. If an incident presents a risk of serious injury, we notify the Commission d'accès à l'information and the persons concerned, and take reasonable measures to reduce the risk.
The service is designed so that the identity of the person making a report is not required. Anonymity may still be limited by what you write yourself or by the context of the report. Each person is responsible for the content they enter.
Our internal policies and practices set out staff roles and responsibilities, retention and destruction of information, handling of complaints and incidents, and assessment of new projects. A summary is available on request from the privacy officer.
Each version of this policy carries a date. For a material change, users are asked to review the new version at their next sign-in, and the date at the top of this page is updated.
